§ I.Income & Expenses

A form that stays out of your way.

Add or edit a transaction in seconds. Type the amount, pick a category, choose a fund. Split one receipt across multiple line items, attach a PDF or photo, edit later — every change recorded.

  • Split line items
A single $1,200 grocery run can be Hospitality $900 and Children's Ministry $300 — line items must sum to the total.
  • Receipts on the audit trail
Attach a photo or PDF of the receipt to any transaction. Stays linked for as long as the record does.
  • Edit history
Every edit and deletion is recorded with the user, timestamp, and what changed.
  • Income, expense, transfer
Inter-fund transfers stay balanced — money moving from General to Building shows on both sides.

§ II.Recurring

The bills that show up like clockwork.

Set up rent, payroll, electric, internet, insurance — anything that repeats — to appear on the schedule you choose. Auto-record, or hold each one for confirmation before it lands in your books.

  • Any frequency
Weekly, biweekly, semi-monthly, monthly, quarterly, annual — pick what matches the bill.
  • Auto or confirm
Auto-record reliable bills. Hold variable ones (phone, supplies) for a quick confirm before they post.
  • Auto-pay marker
Mark a recurring entry as auto-pay so you remember the bill is paid outside ChurchFinance — we don't actually push the payment.
§ III.Bank Rules

Tell it once. It tags forever.

A rule is a description pattern paired with a category and fund. When you import bank transactions, matching descriptions are auto-tagged. Try it below — type a pattern and watch the matches.

In your dashboard, rules apply automatically when you import a CSV — every match is tagged before you even open the file.

§ IV.Imports

CSV in. Categorized out.

Drop a bank statement export. ChurchFinance detects the columns, applies your bank rules, and flags the rest for review. Migrating from another system? There's a guided wizard for that too.

  • CSV upload
Most banks export CSV. Drop the file, confirm the column mapping, done.
  • Rules apply on arrival
Bank rules tag what they can the moment the file is parsed.
  • Duplicates flagged
If you re-import overlapping dates, duplicates are detected and held for review.
  • Migration wizard
Coming from another system? A guided wizard maps prior categories and funds into ChurchFinance.

§ V.Filters & Search

Find anything, fast.

Type a few letters — the list narrows the instant you stop typing. Search across descriptions, donors, vendors, amounts, and funds at once, then stack filters or jump to a preset for the cuts you reach for every week.

  • Search as you typeFeatured
One field across description, donor name, vendor/payee, reference, and exact amount. Type a few letters — results filter about a quarter second after you stop typing.
  • Stack with filters
Combine search with Type, Category, Fund, and Account dropdowns — plus This Month / Last Month / Custom date ranges. Totals at the top recompute with your search.
  • Presets
Save the filter combination you use every week. Reopen with one click from the Presets menu.
  • Sharable URL
Your search and filters live in the URL — bookmark a view or paste a link to a coworker and they see the same slice.
§ VI.Exports & Statements

Auditor wants a clean PDF. Treasurer wants raw CSV. Board chair wants it in their inbox by Sunday night. Three buttons. Always available.

Send the statement to one address or your whole board list — PDF attached, signed by your church.

Statements are scoped to your fund and ministry permissions. Treasurers see everything; ministry leaders see their ministry.

§ VII.Financial Insights

See where the money goes.

Spending, income, and cash flow — visualized from the same transactions you've already entered. Switch tabs, pick a month, drill into a category. Download or email the view as a PDF when the board asks.

What we actually do, said plainly.

Pattern-based tagging

Bank rules are case-insensitive substring matches you write yourself. There is no machine-learning model deciding categories — you stay in control.

No payments pushed

ChurchFinance does not pay your bills. The auto-pay flag is a marker so you remember a bill is on autopay outside the app.

Audit log

Every transaction edit, deletion, import, and reconciliation event is recorded with the user, action, and timestamp.

Questions

What treasurers ask first.

Open Income & Expenses, click Add Transaction, choose Income, Expense, or Transfer, then fill in the date, amount, category, fund, and description. Attach a receipt (JPEG, PNG, or PDF) if you want one on the audit trail. Save and the transaction appears in the ledger immediately.

Open the ledger.

Start recording transactions in minutes. Try every feature for seven days, no credit card.
